Q & A - SPOE Transition

We have had many questions this past week and want to provide everyone with the questions and answers! Please continue to email your questions to Elaine Armstrong or Angie Jarvis. Or you can post a comment/question here!

Q. When will the new contact information for the SPOE be published and sent to referrals sources?
A. Postcards with new contact info will be mailed to 300+ physicians in the cluster the week of 3/22. In addition, we are distributing post cards at the IPFW health fair this month to vendors/community partners and will be mailing them to other referral sources in the coming weeks.

Q. When will new emails/phone numbers for IC/SC be sent to providers/ED Team Scheduler?
A. We will be sharing all of our contact information on our blog so providers will have that access. We are also planning on communicating that information in a bulk email to providers. Families will be contacted with that information through their designated SC by April 10th.

Q. When will providers and families be given notification of new Intake and Service Coordinators?
A. Our intent is to not change the caseloads of the current staff that are continuing on after April 1st (please note that over half of the current staff is continuing). The remaining caseloads will be given to a “new” IC/SC, caseload for caseload. Families and providers will be notified by April 10th.

Q. Providers will be submitting quarterly progress reports at the time of transition. Where should they send reports if they are unsure of coordinators?
A. We will post directions on the blog a little closer to April 1st. Please help us communicate to providers to keep checking the blog for updated information.

Q. Will ED Team Scheduler be provided with a list of new IC for submission of evaluations completed during transition?

Q. Will Achieva take referrals and forward them to AWS or will they be giving referral sources the new phone number and asking them to make another call?
A. Achieva will take all referrals through 3/31. On 4/1, they will have a recorded message that gives callers the new AWS SPOE's # to make referrals. They are maintaining a spreadsheet of referrals to track the process. This will be shared with AWS so that we can pick-up where they have left off.

Q. We have heard a variety of answers regarding intakes and the transition. Will everyone cease doing meetings effective March 15?
A. No, Achieva staff will continue with meetings (including intakes) through 3/31. We are in constant communication with the State and Achieva about this transition.

Q. We have heard that the SPOE will be on “shut down” the last week of March for the move…..true?
A. While there will obviously be "down time" to pack and prepare for the move/transition, the SPOE will not be "shut down".

Q. Will we have provider meetings?
A. Absolutely! Details to be shared at a later date.

Q. Will SPOE staff meet with ED Teams to review procedures?
A. Yes, we will be scheduling a date in the near future.
